What Is a Print Proof?
The print approval, commonly known as the BAT in French, is the final version of a document submitted to the client before printing begins. Approving it means that the content shown may be produced as is. This is the final opportunity to check the text, contact details, visuals, layout, pagination, dimensions and, depending on the type of proof chosen, certain aspects of the printed result.

This approval protects both the client and the printer. It establishes a shared reference and prevents a misunderstanding discovered after production from affecting hundreds of copies. However, the print approval is no substitute for careful proofreading: an error visible in the approved version will be reproduced in the final print run.
PDF print approval, paper proof or colour proof?
These three levels of control serve different purposes and do not guarantee the same elements.
The PDF Print Proof
Quick to send and amend, a PDF print approval is primarily used to check text, image placement, pagination, format, margins and trim elements.
However, a screen is not a reliable reference for accurately assessing colours.

Colour control for demanding projects
Media Process uses a new Epson 9500 large-format printer and the ProofMaster solution. Proofs are produced according to FOGRA39 or FOGRA52 printing conditions, depending on the substrate, on dedicated proofing paper. This colour control provides an objective reference for the expected result before production begins.
What should you check before approving a print proof?
Approval calls for a structured review. Before giving your consent, be sure to check:
- Headings, text, proper names, dates, prices and contact details
- The correct versions of logos, images and graphics
- Page order, pagination and reading direction
- Finished size, bleed and safety margins
- The legibility of small text and image resolution
- Folds, die cuts, binding and finishes
- The paper and finish specified in the quotation
- Overall colour consistency based on the proof provided
A good practice is to ask someone who has not worked on the file every day to carry out this final review. A fresh pair of eyes will often spot a typo, missing information or an inconsistency more easily.
Print quality starts before the print run
Even before producing a proof, Media Process checks the files for every job: dimensions, bleed, resolution, CMYK/RGB colour mode, fonts, overprinting and crop marks.
Checking a file does not mean everything can be corrected
When the source file or its design does not allow for a direct correction, the team informs the client so that a suitable version can be provided.

Frequently Asked Questions About Print Proofs
Does a print approval guarantee the exact final colours?
Not necessarily. A PDF print approval is primarily used to approve the content and layout. A paper proof provides a more tangible indication. When a high degree of colour accuracy is required, a controlled proof produced on proofing paper is a more appropriate reference.
Can the document still be corrected after the print approval?
Yes, as long as production has not started. Any change requires a new version to be issued and approved by email. Once final approval has been given and the print run has begun, corrections are no longer possible without stopping or restarting production.
Can a paper proof be requested for all types of printed materials?
